Storage of Assessment MaterialsAfter scoring, all assessment materials are sent to the warehouse for storage. In each assessment, any unused materials are sent to temporary storage to await completion of the entire assessment. Once the assessment is complete, materials-processing staff receive authorization from NAEP data analysts and instrument developers to salvage unused materials after determining that a sufficient quantity of each form type is retained in permanent archive. Under the current contract, NAEP booklets that contain student responses are stored for 18 months before being shredded at a secure facility. In the 2000 assessment, due to the large number of rescore projects done with NAEP materials, the documents were unspiraled and sequenced by grade and booklet type after all of the processing and scoring was completed. It was anticipated that this would allow for efficient document retrieval to fill requests for specific booklet types in future scoring projects. Unspiraled and sequenced booklets were then assigned a new inventory number by grade and booklet type and sent back to the warehouse for storage. The storage locations of all documents were recorded in the inventory control system. In the 2001 assessment, since the image retrieval process worked successfully for the geography and U.S. history rescore work, it was determined that unspiraling of booklets prior to warehousing was an unnecessary step. Documents were stored according to the batch and stack number in which they were processed. The storage locations of all documents by batch and stack number were recorded in the Work Flow Management System. Last updated 12 June 2008 (TS) |
